Scope of position The Procurement Specialist is responsible for managing the organization's purchasing activities, ensuring the timely and cost-effective acquisition of goods and services. This role involves negotiating contracts, managing supplier relationships, and ensuring compliance with procurement policies and regulations. The Procurement Specialist works closely with various departments to understand their needs and source the best possible products and services to support the organization’s operations and objectives.
Tasks and responsibilities
Supplier Management: - Identify, evaluate, and select suppliers based on quality, cost, and delivery capabilities. - Develop and maintain strong relationships with key suppliers to ensure reliability and foster long-term partnerships. - Conduct supplier performance evaluations and address any issues related to quality, delivery, or pricing.
Negotiation and Contract Management: - Negotiate terms and conditions with suppliers to secure the best possible pricing and service levels. - Draft, review, and manage procurement contracts and agreements. - Ensure compliance with contract terms and resolve any disputes that arise.
Procurement Process Management: - Manage the end-to-end procurement process, from requisition to purchase order to delivery. - Ensure procurement activities are conducted in accordance with organizational policies and procedures. - Maintain accurate and up-to-date records of procurement transactions.
Cost Control and Optimization: - Identify opportunities for cost savings and process improvements in the procurement process. - Analyze market trends to understand the impact on pricing and availability of goods and services. - Work with internal stakeholders to optimize inventory levels and reduce excess or obsolete stock.
Compliance and Risk Management: - Ensure procurement activities comply with relevant laws, regulations, and ethical standards. - Identify and mitigate potential risks related to the procurement process.
Collaboration and Support: - Work closely with husbanding/inland departments to understand their procurement needs and provide support in sourcing and acquiring necessary goods and services. - Assist in the development and implementation of procurement strategies that align with organizational goals.
Requirements and skills
Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
3-5 years of experience in procurement, supply chain management, or a related role.
Strong negotiation skills and experience in contract management.
Excellent analytical and problem-solving abilities.
Proficiency in procurement software and Microsoft Office Suite, particularly Excel.
Strong communication and interpersonal skills.
Detail-oriented with strong organizational and time management skills.
Knowledge of relevant laws, regulations, and ethical standards related to procurement.
Professional certification (e.g., Certified Professional in Supply Management (CPSM), Certified Purchasing Professional (CPP)) is a plus.
Excellent English knowledge. German knowledge or any other language is a plus.
